For owner-led contractor teams of roughly 2–10

Put your open estimates into one follow-up system.

In the Estimate Follow-Up Fix Sprint, SWMB maps how you follow up now, builds a working tracker and human-approved message workflow, tests it on live estimates, and hands the system back to you.

A fixed-scope paid engagement recommended after the Estimate Workflow Review.

Good fit

This sprint is for a narrow, repeated problem—not a complete office rebuild.

Good fit

  • The owner or one office person handles estimate follow-up.
  • You have real open estimates or quote requests to test.
  • Follow-up currently lives in an inbox, calendar, spreadsheet, CRM, or memory.
  • A working small system would be useful immediately.
  • You can give quick feedback and approve customer-facing messages.

Not a fit

  • You only need more leads.
  • Several departments and systems must change at once.
  • You want a custom CRM or project-management platform.
  • No one can own the workflow after handoff.
  • You want pricing or commitments sent without human approval.

What is included

A working small-batch system, not a strategy deck.

1. Recent-estimate review

We trace a few real estimates from quote request through the most recent follow-up and identify the point where ownership or context breaks.

2. Follow-up workflow

We define the stages, next-action owner, timing, required context, and human approval points.

3. Working implementation

We configure the tracker, prompts, messages, reminders, or connections required for this one workflow using existing tools first.

4. Live test

We run the system on representative or live estimates and correct the real exceptions that show up.

5. Handoff

You receive a short operating guide showing what enters the system, what happens next, and what remains human-owned.

6. Decision

We review usage and decide whether to keep it, revise it, or stop. A second workflow is not assumed.

Measure 01 Follow-up visibility

Can the owner see which estimates need action without searching several places?

Measure 02 Follow-up completion

Are the agreed next actions completed at the right time?

Measure 03 Actual use

Does the person responsible use the workflow on live work?

Sprint FAQ

Scope stays small so the result arrives quickly.

How long does it take?

The sprint is designed for a short working cycle. Timing depends on access and feedback, but the scope is deliberately limited to one estimate follow-up workflow.

What tools can you work with?

Email, forms, spreadsheets, CRMs, contractor platforms, calendars, messaging workflows, automation tools, and AI systems. The existing stack is assessed before anything new is added.

Does the sprint include lead generation?

No. It improves what happens after a real inquiry or estimate exists.

What happens if the workflow needs more than this sprint?

We keep the sprint within its boundary and document the larger opportunity separately. Expansion receives a new scope and price only after the first workflow is used.

Why only three design partners?

The initial cohort is intentionally small. SWMB is measuring delivery time, adoption, exceptions, reuse, and business value before making the offer broader.
